Minutes of the 8/19/05 SSHBEA Board of Directors Meeting
At 7:05PM on August 19, 2005, Travis Kelley called the SSHBEA Board of Directors meeting to order and asked Janice Higgins to call the roll. All were present except Maude Hopkins and Brenda Wright who had called the office and John Mohon who had not called. Janice next read the minutes from the 7/19/05 board meeting and motion was made and seconded to approve these minutes, motion passed. She then read the minutes of 8/8/05 Special called meeting and a motion was made and seconded to approve these minutes, motion passed.
The judges for the fall show are Larry Derryberry, Amy Trimble, Cory Clay, Dwayne Sullivan and Chris Messick.
Travis asked Janice Higgins to work on the possible change of sending the Hall of Fame nominees to the membership for selection. Judy Hooker reminded Travis that she had been assigned to the Hall of Fame at the beginning of the year. Judy would be working on this.
Johnny Smith had been tasked to rewrite the by-laws changes, to be presented to the membership, concerning how we handle replacing a resigning or deceased board of director and the date of our Annual meeting. Please see attached.
Travis announced that the color rule that had been sent to the membership for vote had passed. There were 379 returned, legal counted votes (3 uncounted due to no ID labels), 222 yes and 157 no. Travis asked Bob and his committee to write the complete definition of this rule.
Travis asked each board member to take a sheet of the membership and call and ask for sponsors. Travis has written out exactly what he says to them when he reaches someone. The committee has already raised $10,000 by calling 600+ members.
The cookout will be Sunday, September 25 at 11:00-Johnny Smith is in charge.
Johnny Smith made the motion for a 2 gait preliminary class to qualify a horse for a 2 gait championship class and a 3 gait preliminary class, to qualify a horse for a 3 gaited championship class. Freda Bullard seconded, motion passed.
Travis has 4 ringmasters, needs 1 more. (Scotty Box, Joyce Trail, Carol Ward and Jeremy Wilham are committed.) Aaron Crafton and Judy Hooker will work on ribbon girls. The Ladies Auxiliary is in charge of decorating center ring and the floral horse shoes.
Aaron Crafton next presented the Financial Report and the outstanding debt list. Aaron commented that Ray Angel had shown at the Lynchburg show this past Saturday night. Travis reported that Ray had paid $400+ on what he owes. Travis also reported he had let Andy Clark show this past Saturday night. Andy had also paid some on his debt. Both are to have their accounts paid in full by the Fall Show. Linda Crowley owes $500+-these are 3 of the largest debts of $9000+ owed. Johnny Smith made a motion for the finance committee to meet and come up with a workable proposal to collect these unpaid debts. Mark Cutlip seconded, motion passed. Aaron reminded the board about the required Purchase Order for any purchase over $200 that they (the board) had approved at an earlier date (a couple of years ago) and warned that he would not sign checks without them. Aaron reported we have a bill from our attorney of $1623 on the color issue. Dan Meyer made the motion to approve the Financial Report. Judy Hooker seconded, motion passed.
Freda Bullard reported that Leslie Lamb is over the Horse of the Year and her committee is working on changes for 2006 instead of this year.
Tammy Coffman had passed out a copy of a report she had done on the expenses and income of the magazine. The bottom line showed a loss of $2636.98 without the added % of the membership dues and a few other incidentals but with these added the magazine shows a profit of $16,469.98. Tammy reported they had requested a bid from a firm in Illinois and would request a couple more. Tammy questioned printing the complete minutes in the magazine due to discussion of financial info concerning specific people. It was decided they should be edited before being printed on the web page, in the magazine or the new-letter. The board should approve the edited form also.
Bob reported a lady in Clarksville wants to sanction a show with us and requested a guest judge’s license for Martha Day. The show is affiliated with the National Horse Show and there are 10 spotted classes on September 17.
Janice Higgins made the motion for the board to approve sponsoring the Ladies Auxiliary Stake Class for $250. Freda Bullard seconded, motion passed.
Janice Prince had ribbon quotes for the fall show from L & M and the new business owned by Keith & Suzie Johnson-both were very close. Janice Higgins was unable to obtain a quote from Ribbon Enterprises in Soddy Daisy. It was decided to go with L & M for the remainder of this year.
Freda Bullard stated that our rule book says a horse must be registered to show in our Fall Show. In the past we have let people register their horse at the show and still show and some of these people never complete these papers, thus Janice has a pending file dating back into the 1980’s. After discussion Janie Rowland made the motion that there be a 60 day deadline on a pending registration application and all monies paid will be forfeited and fees will have to be paid again to complete the registration after that deadline. This will be effective 30 days from today. Sis Osborne seconded, motion passed. Freda Bullard made the motion to send all people who have a pending application in the file a letter that they have 60 days to complete their paperwork or file will be tossed. Janie Rowland seconded, motion passed.
